UPDATE; This project is complete but, we have temporarily reopened the need for hour tracking. 

Join this year's Welcome Letter Campaign and help let our incoming freshmen and transfer students know how excited we are that they’re joining us at South this fall.

If you’re interested in participating, please create/write notes, cards, or letters of welcome and encouragement for incoming students and submit them to the Office of Community Engagement.   

Welcome Letter Guidelines

  • Letters should include a brief welcome, we're glad you're here
  • They should include a suggestion or two about what's fun on campus or what opportunities the students should check out now that they're at South
  • If you want to mention any student organizations or athletic teams you’re involved in and how to learn more, feel free to. Letters will be randomly matched with incoming students though, so keep that in mind.
  • Feel free to be creative with the look and feel of your notes, but professional as well since you’re representing the University 
  • Participating students can create/write multiple letters
  • Submissions should not be larger than an 8.5” x 11” piece of paper and you do not need to provide envelopes
  • Up to 30 minutes of volunteer service per unique welcome letter can be approved in South Serves as long as you follow the submission instructions. Please keep in mind that hours will be assessed based on the amount of visible effort put into the cards/letters.

Submission Instructions

  1. All welcome letters are due by Friday, August 30, 2024

  2. Download and fill out a submission form if you are:
    Submitting welcome letters you created    
    OR
    Collecting and submitting welcome letters on behalf of an organization or team 
    Note: The group submission form must contain information about each student whose welcome letters are included.

  3. Include a printed copy of the completed submission form with your welcome letters in an envelope addressed to the Office of Community Engagement

  4. Label the welcome letters so that we know which student prepared which letters

  5. Deliver your welcome letter packet to the Office of Community Engagement located in the Student Center, Suite 240.
